Hotel Software Demo Checklist

Make every demo answer the same operational questions. Use synthetic records and record what was shown, what remains unclear and who will follow up.

Start with the problem, then the product

A front desk struggling to find reservation changes has a different purchasing problem from an owner manually updating rates on several booking sites. Write down the recurring problem, which team encounters it, and the system that currently holds the correct information. Give the demo a testable purpose.

A property management system (PMS) supports operational reservation and front-desk work. A channel manager distributes rates and availability across connected booking channels. A booking engine accepts direct reservations on your website. These functions can come from one vendor or connected products; a shared brand name does not establish what your contract includes.

Two routes worth evaluating

Cloudbeds markets a PMS with additional distribution, direct-booking, payments and guest-experience capabilities. Package inclusions vary: its published Flex and One packages have different distribution scope. Identify what to demonstrate and request in a written quote.

SiteMinder markets distribution and hotel-commerce tools, including a channel manager and booking engine. If the current PMS supports daily operations, investigate whether an integration can address the distribution problem without replacing it. Confirm the exact connection, room types, rate plans and supported data flows.

Build a property brief

Record property type, room count, country, current PMS, active booking channels, booking engine and payment provider. Add contract renewal dates, the target change window and the person who will make the buying decision. Use aggregate figures; guest records and payment credentials do not belong in the public enquiry.

Divide requirements into essential, useful and optional. For each essential requirement, record a scenario the vendor can demonstrate and who on your team will accept the result. Easy to use becomes a clearer requirement when it means the next shift can find an unresolved reservation issue without asking the previous shift.

Compare the complete arrangement

Ask each vendor to identify the exact package and integrations in its proposal. Separate subscription charges, onboarding, migration, training, payment costs, optional modules and third-party fees. Compare the same period and currency, and record cancellation and renewal terms.

Use the comparison guide for a shortlist, the demo checklist to collect evidence and the switching checklist before agreeing a cutover. A HotelRite enquiry starts a conversation about requirements; it does not book a vendor demo or authorize sharing your details with a software company.

Research and commercial relationships

Prepared from official vendor documentation, reviewed October 19, 2026. This is a researched guide, not a hands-on rating or vendor certification. Current vendor links are ordinary, non-commission links. Any future paid referral relationship will be disclosed beside the relevant recommendation. Your enquiry stays with HotelRite unless you agree to a vendor introduction.
