Three jobs in the hotel software stack
A PMS supports operational reservation and front-desk workflows. A channel manager distributes inventory, rates and availability across connected booking sites. A booking engine provides the direct reservation journey on the hotel's website. One company can supply several products, but the jobs remain distinct.
A room closure may start in an operational workflow, reduce sellable inventory, and need to reach every connected channel. Ask where it is entered, how it propagates, and what happens if a connection fails. This is more useful than simply asking whether products integrate.
When to retain the PMS
Retaining a PMS may be worth evaluating when staff can manage daily reservation and room-status work reliably while distribution needs improvement. Confirm current support, export access and integration compatibility before committing.
A new channel manager will not by itself correct unclear shift responsibilities, inaccurate room mapping or inconsistent data entry. Document ownership alongside the technology change.
When to evaluate a replacement
A replacement review becomes relevant when the operational system cannot support required workflows or when maintaining it no longer makes sense. A full change needs migration, staff training, reconciliation and acceptance checks.
Compare a unified proposal with the costs and work of a connected setup. Ask which required features are included and how payment, reporting and accounting connect. Product categories alone do not establish the best purchase.
Questions for the demo
Which system is the record for each data type? Which updates move in each direction? What happens to a change during an outage? Who sees an exception? Who can close inventory? Which reports prove records agree?
Use the answers to scope the project, then compare Cloudbeds and SiteMinder on the relevant functions. Our demo checklist provides a repeatable way to record the evidence.
