Cloudbeds describes a hospitality platform built around a property management system. Its published product range includes payments, channel management, a booking engine, reporting and guest-experience tools. When to put it on the shortlist
Evaluate a PMS change when existing reservation and front-desk workflows cannot support the operation, or when the cost and effort of maintaining the current system justify a replacement review. Identify reports, integrations and staff processes that must survive the change.
If the main issue is rate distribution while the PMS works well, compare a connected distribution solution too. Replacing the operational system introduces migration and training work that a narrower change might avoid. The right scope depends on the property.
What to ask in the demonstration
Bring synthetic scenarios: a direct reservation, an OTA modification, a room closure, an arrival with an outstanding balance and a shift-handover exception. Ask the demonstrator to show how the proposed package handles each one, including permissions and reporting.
Confirm who maintains room status, how housekeeping and reception see updates, and how the team identifies an inventory exception. Check your actual payment provider, accounting tool and booking channels rather than relying on the total number of marketplace integrations.
Quote and migration questions
Request a quote covering the package, room count, currency, onboarding, training, optional modules, payment arrangements and third-party costs. Ask how renewal, cancellation and future room-count changes affect charges. We do not publish a universal price because the property-specific proposal defines the purchase.
List the records and balances you need to move, which historical data remains accessible, and who reconciles future reservations. Do not assume payment tokens transfer. Confirm export formats, migration responsibilities and support during the agreed change window.
